Mosaic Catering + Events is an award-winning event service company with operations in Richmond, VA and Charleston, SC. We are a full-service, one-stop shop for your event, catering, design, rentals, and lighting needs.


The primary focus of the MOSAIC Administrative + Staffing Assistant will besales support, event staffing coordination, and human resource assistance.

The associate will provide event presence to ensure that MOSAIC standards of service and quality are being met. This associate is ultimately responsible for the scheduling, training, and supervision of all event staff. Staffing coordination, including payroll verification, hiring, and training of all hourly field staff, will be the responsibility of the employee.


The Administrative Assistant will also be responsible for aiding in office organization. This position will learn to create proposals, keep contact with clients, maintain and update digital information, and assist the Mosaic Team with event planning and file organization.

This position will be part-time at 30-35 hours a week.

Major Duties:

  • Total Party Planner complete knowledge

  • Maintenance of all files

  • Daily office organization

  • Hiring, training, and supervision of staff

  • Attend all necessary meetings

  • Answering incoming phone calls

  • Supervise coordination of all hourly field staff

  • Hire and Manage all hourly catering staff

  • Schedule all hourly catering staff for events

  • Policy/procedure enforcement on event site

  • Work with Mosaic staff to ensure all P&L

  • Assist in the execution of all trade events, American Heart Ball and other large events that require full team support

  • Assist fellow sales team members to grow the business and Mosaic brand; this at times may include traveling to Mosaic’s other locations within Virginia and South Carolina

  • Aiding in the execution of bi-annual training for hourly field staff

  • Coordinating and participating in annual reviews for hourly catering staff

  • Assisting in tracking client inquiries

  • Working on event site to conduct on on-site

  • Act as the first point of contact at events for all new hires

  • Conduct New Hire Orientation with all new catering hires

  • Work with outsourced personnel companies

  • Attending all necessary meetings and walk-throughs and taking notes

  • Responding to client requests
  • Policy/procedure enforcement on event site
